We use the applications below to deliver your implementation, migration, and ongoing support, and to manage our work with your practice. This page explains what each application is used for and links to the provider's security and privacy information.
Not every application is involved in every engagement. The systems that handle your data depend on the work we're doing for you.
Practice platforms
FYI
We use FYI for document management, job management, and process automation. It's also our own CRM and job system.
Xero & Xero Partner Hub
We work with your Xero environment as part of accounting and practice management implementations and support.
Hosting, file transfer & security
Microsoft Azure
We use Azure to host data migration workloads, scripts, and tools.
1Password
We use 1Password to store and share credentials and access keys in encrypted vaults.
Box
We use Box to transfer large data files for migrations through the Box environment provided by Xero New Zealand Limited.
Project & work management
ClickUp
We use ClickUp for project management, task tracking, internal documentation, and client onboarding, including its built-in AI features.
Email, documents & meetings
Microsoft 365
We use Microsoft 365 for email, calendars, documents, and Teams meetings.
Google Workspace
We use Google Workspace for shared documents and spreadsheets.
Zoom
We use Zoom for video meetings and screen sharing when it's your preferred meeting platform.
Client engagement
Calendly
We use Calendly to let you book meetings with us without the back and forth.
PandaDoc
We use PandaDoc to prepare and send proposals and engagement letters, and to collect electronic signatures.
Cradle
We use Cradle for business phone calls, with recording, transcription, and summary features.
AI & meeting notes
These tools support meeting notes, analysis, documentation, and development. Data handling terms vary by product, plan, and configuration. The links below explain each provider's approach.
Fireflies.ai
We use Fireflies.ai for meeting recording, transcription, and notes.
ChatGPT (OpenAI)
We use ChatGPT to assist with drafting, analysis, and documentation.
Claude (Anthropic)
We use Claude to assist with development, scripting, and technical documentation.
Microsoft 365 Copilot
We use Microsoft 365 Copilot for AI assistance within email, documents, and Teams meetings.
Automation platforms
Make
Make is our main automation platform for connecting FYI, Xero Practice Manager (XPM), ClickUp, and other applications in your tech stack.
n8n
We use n8n for workflow automation and custom integrations.
Zapier
We use Zapier where your practice already uses it or where it fits the integration we're building.
